Terms & Conditions
Terms & Conditions
These Terms and Conditions explain how LuxJet Group works with its clients and what both parties agree to when a charter flight is booked. We have written them in plain language so they are easy to understand.
By requesting a quote, signing a charter agreement, or making a payment with LuxJet Group, you agree to the terms outlined on this page. If you have any questions about anything here, please contact us directly before confirming your booking.
LuxJet Group is a privately owned charter brokerage and travel management company. We are not an aircraft operator. All aircraft are sourced on your behalf through licensed third-party operators and industry booking platforms. LuxJet Group earns a commission on each booking - this is how the private aviation brokerage model works, and we are fully transparent about it.
1. Who We Are
LuxJet Group is a privately owned private aviation charter brokerage and travel management company. We are not an aircraft operator and we do not own or operate aircraft. What we do is work personally on your behalf to source, negotiate, and manage the right aircraft for your journey.
We access aircraft through a combination of direct operator relationships and leading industry booking platforms including Avinode, AVPRO, Charterpad, Air Charter Service, PrivateFly, and Victor. These platforms give us access to thousands of vetted aircraft and operators across the globe, allowing us to find the best available option for your specific route, timeline, and standards.
LuxJet Group earns a commission on each booking we arrange. You will never be charged a separate brokerage fee on top of your quoted price - the pricing we present to you is all-inclusive of our service. We are fully transparent about how our business model works because we believe our clients deserve to understand exactly what they are paying for and who they are working with.
We serve individuals, families, corporate teams, entertainment groups, and any client who requires premium, personally managed private aviation -regardless of the size or complexity of the trip.
When you book through LuxJet Group, you are entering into a relationship with us as your dedicated booking specialist. The actual flight is operated by a licensed third-party aircraft operator, and a separate charter agreement will reflect those details.

2. Booking & Confirmation
A flight booking is not confirmed until the following steps are complete:
- You have received and reviewed your custom quote from LuxJet Group
- You have signed the charter agreement provided by LuxJet Group
- Payment has been received and confirmed in writing by LuxJet Group
Until all three steps are complete, the aircraft is not reserved and the flight is not guaranteed. LuxJet Group will send written confirmation once your booking is fully secured.
Verbal agreements, text messages, or email exchanges do not constitute a confirmed booking. Only a signed charter agreement and confirmed payment secures your flight.
3. Pricing & Quotes
All quotes provided by LuxJet Group are based on the information you provide at the time of the request, including route, dates, passenger count, and any special requirements.
Quoted prices may include or exclude the following depending on the trip:
- Landing fees and airport handling charges
- Fuel surcharges
- Catering and in-flight service requests
- Ground transportation coordination
- Overnight or waiting fees for the crew
- International permits and overflight fees
LuxJet Group will clearly outline what is included in your quote. Any additional costs that arise after the quote is issued - due to changes in your itinerary, additional requests, or circumstances outside our control - will be communicated to you before they are charged.
Quotes are valid for the time period stated. Pricing is subject to change if the booking is not confirmed within the stated validity window, or if market conditions change.
4. Payment Terms
Payment is required to secure your flight. LuxJet Group will provide secure payment instructions at the time of booking. Accepted payment methods will be communicated directly.
Standard payment terms are as follows:
- Full payment is typically required at the time of booking unless otherwise agreed in writing
- For longer trips or high-value bookings, a deposit structure may be arranged
- Payment must clear before the charter agreement is considered fully executed
Failure to complete payment by the agreed deadline may result in the loss of the aircraft reservation. LuxJet Group will make every effort to notify you before this occurs.
5. Cancellations & Changes
We understand that plans change. However, private jet charters involve contractual commitments with aircraft operators, and cancellations or significant changes may result in fees. The specific cancellation policy for your booking will be clearly outlined in your charter agreement.
General Cancellation Guidelines
Cancellation fees vary depending on how far in advance the cancellation is made, the specific aircraft operator, and the nature of the trip. In general:
- Cancellations made well in advance may be eligible for a partial or full refund depending on the operator's policy
- Cancellations made within 72 hours of departure are typically non-refundable
- Same-day cancellations are almost always non-refundable
Flight Changes
Changes to your itinerary - including date changes, route adjustments, or changes in passenger count - may affect your pricing and may incur additional fees. Please notify LuxJet Group as early as possible if your plans change so we can explore the best options for you.
LuxJet Group will always work on your behalf to minimize fees in the event of a cancellation or change. However, we are bound by the operator's cancellation policy as outlined in the charter agreement.
6. Passenger Responsibilities
As the client, you are responsible for ensuring that all passengers traveling on your charter flight comply with the following:
- All passengers must have valid government-issued photo identification for domestic flights, and a valid passport for international flights
- All passengers must arrive at the agreed private terminal at the agreed departure time. Private aircraft cannot hold indefinitely for late passengers.
- Passengers must comply with all applicable aviation security requirements
- Any special needs, dietary requirements, or accessibility requirements must be communicated to LuxJet Group in advance
- Passengers must comply with the aircraft operator's rules regarding baggage, conduct on board, and smoking policies
If a passenger is denied boarding for any reason - including failure to provide valid identification or non-compliance with aviation regulations - LuxJet Group and the operator cannot be held responsible, and refunds will not be issued.
7. Luggage & Cargo
Luggage allowances vary by aircraft type and will be communicated at the time of booking. In general, private jet luggage limits are determined by the aircraft's cargo hold size and weight limits, not by the number of bags.
The following items are strictly prohibited on all charter flights:
- Illegal substances or controlled items
- Weapons or firearms unless properly permitted and declared in advance
- Hazardous materials or dangerous goods
- Any items prohibited by aviation regulations in the relevant country
If you need to transport unusual items, special equipment, or large cargo, please inform LuxJet Group at the time of booking so the appropriate aircraft and arrangements can be made.
8. Flight Disruptions & Circumstances Beyond Our Control
The safety of all passengers is always the highest priority. Circumstances beyond the control of LuxJet Group or the aircraft operator - including but not limited to severe weather, air traffic control restrictions, mechanical issues, or government-imposed restrictions - may occasionally affect your flight.
In the event of a disruption, LuxJet Group will:
- Notify you as quickly as possible with clear information about what has changed
- Work immediately to find the best alternative solution available
- Communicate all options to you personally and support you through any necessary changes
LuxJet Group and the aircraft operator cannot be held liable for delays, cancellations, or losses arising from circumstances outside of our reasonable control. Where possible, refunds or credits will be arranged in line with the operator's policy.
LuxJet Group will always advocate on your behalf in the event of a disruption. Our commitment to you does not end when something goes wrong - it is most important when something does.
9. Privacy & Confidentiality
LuxJet Group takes your privacy seriously. All personal information you share with us - including your name, travel details, passenger information, and payment details - is handled with strict confidentiality.
We will never share your personal information with third parties except where required to arrange your flight - for example, sharing necessary passenger details with the aircraft operator or relevant aviation authorities.
LuxJet Group will never:
- Sell or trade your personal information to any third party
- Use your travel details for any purpose other than arranging your flight
- Discuss your travel plans with anyone outside of those directly involved in your booking
By booking with LuxJet Group, you consent to us using your information to arrange your travel and communicate with you about your booking.
10. LuxJet Group's Role as a Broker
LuxJet Group is a privately owned charter brokerage and travel management company. We are not an aircraft operator. Here is exactly how our model works and what that means for you:
- We do not own, operate, or maintain aircraft of any kind
- All aircraft are sourced through our network of licensed operators and through leading industry platforms including Avinode, AVPRO, Charterpad, Air Charter Service, PrivateFly, and Victor
- The aircraft you fly on is owned and operated by a licensed, insured, third-party aircraft operator
- LuxJet Group carefully vets every operator we work with to ensure they hold the appropriate certifications, insurance, and safety records
- The aircraft operator is fully responsible for the airworthiness of the aircraft, the qualifications of the crew, and the safe operation of the flight
- LuxJet Group earns a commission on each booking we arrange. This commission is included in the pricing you receive - you are never charged a separate brokerage fee on top of your quoted price
- LuxJet Group is responsible for sourcing the right aircraft for your needs, negotiating on your behalf, coordinating all logistics, and serving as your single point of contact from first inquiry to final landing
Your charter agreement will clearly identify the operating carrier. If you have questions about the specific aircraft or operator at any point, LuxJet Group will provide that information promptly.
11. Liability
LuxJet Group acts in good faith as your aviation concierge and broker. While we take every precaution to ensure that the operators we work with are fully licensed, insured, and vetted, our liability as a broker is limited to the services we directly provide.
LuxJet Group is not liable for:
- Events outside our reasonable control including weather, air traffic delays, or government restrictions
- Actions or omissions of the aircraft operator once the flight is in operation
- Loss, damage, or theft of personal belongings during the flight
- Personal injury during the flight, which is covered by the operator's insurance
We strongly recommend that all passengers carry appropriate travel insurance that covers private charter travel, including cancellation, medical, and personal liability coverage.
If you have questions about insurance coverage for your trip, LuxJet Group is happy to provide guidance on what to look for and who to contact.
12. Changes to These Terms
LuxJet Group may update these Terms and Conditions from time to time. Any changes will be posted on this page with an updated effective date. If you have a booking in progress at the time of any update, the terms in effect at the time of your booking confirmation will apply to that booking.
We encourage you to review these terms periodically. Continued use of LuxJet Group's services after an update constitutes acceptance of the revised terms.
13. Empty Leg Bookings
LuxJet Group offers clients the opportunity to book empty leg flights - also known as repositioning flights - at significantly reduced rates. This section explains what empty legs are, how they work, and the specific terms that apply to them.
What Is an Empty Leg?
When a private jet completes a one-way charter flight, it often needs to fly back to its home base or reposition to its next departure location without passengers. These repositioning flights are called empty legs. Because the aircraft is flying regardless, operators make these flights available at a reduced rate.
Empty legs offer excellent value for clients whose travel plans align with an available route and timeframe. However, they come with important conditions that are different from standard charter bookings - and it is essential that you understand these before confirming.
Empty Leg Terms
- Empty leg bookings are final. Once confirmed and paid, they are non-refundable and non-transferable under any circumstances.
- Empty leg flights are subject to cancellation at any time. If the original charter flight that created the empty leg is cancelled, rescheduled, or modified by the operator or the primary charter client, the empty leg flight will be cancelled as a result.
- LuxJet Group is not responsible for the cancellation of an empty leg flight. Cancellations arise from circumstances outside our control - specifically, changes made by the original charter operator or client.
- No refund will be issued in the event of an empty leg cancellation caused by changes to the originating charter flight.
- LuxJet Group will notify you as quickly as possible if your empty leg flight is cancelled and will make every effort to identify an alternative solution, though an alternative cannot be guaranteed.
- Departure times for empty leg flights may shift slightly due to operational requirements. LuxJet Group will communicate any changes promptly.
- Empty leg flights follow the same passenger responsibilities outlined in Section 6 of these Terms - valid identification, on-time arrival, and compliance with all aviation regulations are required.
By booking an empty leg flight through LuxJet Group, you acknowledge and accept that: the booking is final and non-refundable, the flight may be cancelled due to changes beyond our control, and LuxJet Group bears no financial liability for cancellations arising from the originating charter. We recommend all clients carry travel insurance that covers private charter cancellations.
